Merge and Split PDF Files: Keep the Right Pages in the Right Order

Two jobs come up constantly when you work with documents: putting several files together, and taking only part of a long file. Examples are an application packet made of ID proof, certificates and a covering letter, a monthly set of invoices for your accountant, or one chapter out of a 200-page report. Both are simple once you follow a few habits that prevent the classic mistakes: pages in the wrong order, a missing page, or a file that is too large to send.

Merging PDFs in four steps

  1. Rename the files so they sort the way you want: 01_cover_letter.pdf, 02_id_proof.pdf, 03_certificate.pdf.
  2. Open the Merge PDF tool and add the files. They are combined in the order you add them, so add them in the final order.
  3. Run the merge and download the combined file.
  4. Scroll through the result once. Check the first and last page of every original and make sure nothing is upside down or missing.

Splitting a PDF

The Split PDF tool works in two ways. You can save every page as its own file, which is handy for a scanned stack of separate documents, or you can enter page ranges and get exactly those pages, for example the first three pages and page 7. Use the range option when you only need to send part of a document. It also keeps files small and avoids sharing pages that are none of the recipient's business.

Common problems and how to avoid them

  • The file is password protected. Remove the password first with the Unlock PDF tool, then merge.
  • The result is too big for email or a form. Merge first, compress afterwards. See our guide on compressing a PDF to a size limit.
  • Pages have different sizes or orientations. A mixed A4 and Letter file is allowed, but some portals print or validate page by page. Check the requirement before you upload.
  • Page numbers look wrong after merging. Add page numbers only at the very end, once the order is final, using the Page Number tool.
  • Bookmarks or links disappeared. Do not assume an outline survives a merge. Check it in the result if it matters.

A tidy workflow for recurring jobs

If you send the same packet every month, keep one folder per month with numbered file names and a short checklist. Merge, review, compress if needed, then add page numbers. The whole routine takes a few minutes and makes it hard to forget a page.

Does merging reduce quality?

No. Merging puts the existing pages next to each other; it does not re-render them, so text and images stay as they were.

How many files can I merge at once?

Can I extract just one page?

Yes. In the Split PDF tool enter that page number as the range, for example 5, and download the single-page file.

Can I change the page order after merging?
